Attendee Terms of Service

These Terms apply to attendees and participants who use the Event Passport PRO mobile app to take part in an event or program run by an organizer. The app is a companion to that event and is always free for attendees. If you are an event organizer using Event Passport PRO to run an event, different terms apply to you — see our Organizer Terms of Service.

1. Agreement to These Terms

By creating an account or using the Event Passport PRO mobile app (the "App"), you agree to these Attendee Terms of Service ("Terms"). If you do not agree, please do not create an account or use the App.

Event Passport PRO is operated by Juliano Goulart / Event Passport PRO ("we," "us," or "our"). You can reach us at hi@eventpassportpro.com.

2. What the App Does

The App is a companion app for an event or program run by an organizer. Depending on what the organizer has enabled, you may be able to:

Not every feature is available at every event. The organizer decides which features to turn on.

The App is free for attendees. There is no attendee subscription, no paid tier, and no in-app purchase. We will never charge you, and we will never ask you for payment or credit card details. The organizer pays for the service.

3. The Organizer's Role

Your event or program is run by an organizer, not by us. The organizer decides what the program is, which activities count, what rewards are offered, who is eligible, and who may take part. The organizer also decides what personal information is collected for their program.

We provide the software. We do not run the program, award the prizes, or decide the rules. We are not responsible for the event itself, for the venue, for any session, or for any promotion, giveaway or prize offered by the organizer or by a sponsor. If you have a question or a complaint about the program — including eligibility, stamps, results or prizes — please raise it with the organizer.

If you are taking part through your employer or another organization, that organization's own policies also apply to your participation. Nothing in these Terms changes your relationship with them, creates any employment obligation, or requires you to take part in the program.

4. Your Account

To use the App you need an account. When you create one, you agree to:

5. Permissions on Your Device

Camera: Used to scan QR codes when you check in. You control this permission in your device settings.

Location: Some organizers require location verification at check-in, to confirm you are actually at the event. If so, we check your location at the moment you scan, and only then. We do not track your location in the background or between check-ins. You control this permission in your device settings, and you can turn it off at any time — though some check-ins may not work without it.

Notifications: Used for reminders about sessions and, where enabled, survey requests. You can turn these off at any time.

6. Your Profile and Networking

You may choose to add a photo, a short bio, and your interests to your profile. All of this is optional, and you can edit or remove it at any time.

If the organizer has enabled networking, other attendees at the same event may see your profile and may be suggested to you as connections. You decide whether to accept a connection and what to share.

7. Vela, Our AI Assistant

Where the organizer has enabled it, Vela is an AI assistant that acts on your behalf. You tell Vela what you are looking for, and Vela finds relevant people among the attendees who are also using it, negotiates with their assistants, and books meetings into your schedule.

Vela books those meetings automatically. It does not ask you to approve each one first. By using Vela, you authorize it to arrange meetings for you on the basis of the preferences you have given it.

You stay in control. You can change your preferences at any time, turn Vela off, and cancel any meeting Vela has arranged. Vela only arranges meetings with other attendees at the same event who are also using it.

Because Vela is automated, its matches and the times, durations and locations it chooses may be imperfect, unsuitable or inconvenient. Check anything that matters to you and cancel anything that does not work. We are not responsible for a meeting Vela arranges, for a meeting the other person does not attend, or for anything that happens at one.

Vela does not provide professional, medical, legal or financial advice, and nothing Vela says or does changes these Terms. Please do not give Vela sensitive personal information, including health information, government identification numbers, or financial account details.

8. Acceptable Use

If you break these rules, we may suspend or close your account. Where we reasonably can, we will tell you first. An organizer may also remove you from their program under their own rules.

9. Your Privacy

Our Privacy Policy explains what information we collect and how we use it, and forms part of these Terms.

Your event organizer decides what personal information is collected for their program and why. For that information, the organizer is the data controller and we act as their data processor, meaning we handle it on their instructions and only to run the service.

You can ask us to access, correct or delete your information at any time by emailing hi@eventpassportpro.com. Where the request concerns data held for an organizer's program, we will work with that organizer to action it. We aim to respond within thirty (30) days.

10. Closing Your Account

You can delete your account at any time from within the App, or by emailing hi@eventpassportpro.com.

When you delete your account, we remove your profile and your account details. Your participation in any program ends, and your stamps and progress are no longer available to you. Organizers may keep their own records of your participation under their own policies, and we may retain limited information where the law requires it or to resolve a dispute.

We may suspend or close your account if you seriously or repeatedly break these Terms.

11. Availability of the App

We work to keep the App available and working properly, but we cannot promise it will always be uninterrupted, timely, secure or error-free. The App is provided "as is" and "as available," without warranties of any kind, express or implied, to the fullest extent permitted by law. We may add, change or remove features over time.

12. Our Responsibility to You

Nothing in these Terms excludes or limits any liability that cannot lawfully be excluded or limited, including liability for death or personal injury caused by negligence, for fraud, or for anything else applicable law does not permit us to exclude. Nothing in these Terms removes rights you have under consumer protection or privacy laws where you live. Only the limitations below that are lawful where you live will apply to you.

Subject to that, and to the fullest extent permitted by law:

13. Your Responsibility to Us

You are responsible for what you do in the App. If a third party brings a claim against us because of something you did that broke these Terms — specifically, content you uploaded, an unlawful act, or a deliberate misuse of the App — you agree to cover the reasonable costs and damages we incur as a direct result.

This does not apply to ordinary use of the App, to anything the organizer does, or to anything caused by us.

14. Changes to These Terms

We may update these Terms. If a change is material, we will update the date at the top and tell you in the App or by email at least thirty (30) days before it takes effect. If you do not agree with a change, you can delete your account before it takes effect.

15. Questions and Complaints

If something has gone wrong, email us at hi@eventpassportpro.com. We will acknowledge your message within five (5) business days and work with you to resolve it. Complaints about the event or program itself should go to your organizer, as set out in Section 3.

16. Governing Law

These Terms are governed by the laws of the Province of Quebec and the laws of Canada applicable there, and the courts of Quebec have jurisdiction. This does not deprive you of the protection of any mandatory laws, or of the right to bring proceedings in the courts, of the country or region where you live.
