Your whole sponsorship program,
in one place

Sell packages, take reservations, collect payments and everything you need from every sponsor, and give them a presence attendees actually engage with. From prospectus to booth, without a spreadsheet in sight.

Start simple

A sponsor directory takes two minutes

Add your sponsors, upload their logos, tier them however you like. They appear in the attendee app, ordered the way you want. That is the whole setup, and for plenty of events it is all you ever need.

  • Name, logo, description, website and booth location
  • Your own tier names, with premium sponsors listed first
  • Control the display order, or hide a sponsor without deleting them
  • No packages, no pricing, no workflow required

Package catalog

The tiers you sell, with the inventory to match

Build the packages you actually offer. Set the price, how many exist, what is included, and when they go on sale. Sold out tiers hide themselves. Nobody edits a PDF.

  • Primary and secondary pricing, so member and non-member rates share one package and one inventory
  • Limited quantity or unlimited, with sold, pending and remaining always visible
  • Availability windows, so packages open and close on their own
  • Benefits with quantities, plus paid add-ons with their own prices and taxes
  • Public packages, or internal ones reserved for sponsors you add yourself
  • Archive a package without touching the sponsors who already bought it

Self-service reservations

Let sponsors reserve without emailing you

Publish a page at your own slug with a header image of your choosing. Sponsors see what is available, pick a package, choose add-ons, answer your questions and reserve. The record lands in your dashboard with everything already attached.

  • Only public packages that are currently available appear
  • Company and contact details, add-ons, taxes and a calculated total
  • Package-specific questions and file uploads collected at the same time
  • Approve each reservation yourself, or confirm automatically
  • Inventory locks while a reservation is pending, so you cannot oversell

Deadlines

Know who is ready and who is not

Each sponsor gets a checklist built automatically from what you asked for. You see progress per sponsor and can tell at a glance who still owes you something.

  • Complete, outstanding, overdue and locked, per sponsor
  • Logos six weeks out, descriptions four weeks out, booth requirements the week before
  • Overdue tasks stay editable, so a late sponsor is never blocked
  • Nothing to maintain: the checklist is built from your settings

Fulfillment

Tick off what you owe them

When a sponsor is confirmed, everything their package promised becomes a tracked item, including anything they added on. Mark each one delivered as you go, with notes and timestamps.

  • Logo added, social post published, booth assigned, speaking slot delivered
  • Add-ons fold into the same list automatically
  • Fulfillment progress per sponsor, and what is still outstanding
  • The package as sold is preserved, even if you change the catalog later

Payments

Get paid without chasing anyone

Sponsors pay you directly, through your own Stripe account. You choose whether that happens at reservation or later from their portal. They choose whether to pay by card or against a hosted invoice.

  • Take payment at reservation, so a package is only held once the money is in
  • Or let them reserve first and pay from their portal, on the due date you set
  • Card through secure checkout, or an invoice their accounts payable team can process
  • Paid status, inventory and fulfillment all update the moment a payment clears
  • See exactly what you receive, before you switch it on and on every transaction after
  • Prefer to bill it yourself? Offline is still there and still the default

The cap bites at $1,667. Above that, the bigger the sponsorship, the smaller our share of it. Fees in this category are almost universally uncapped percentages, which is why a $10,000 title sponsorship usually costs more to collect than the entire rest of your sponsorship program.

Card processing is handled by Stripe at their standard rates, paid to Stripe. Every platform that moves money works this way, ours included. The figures above are what Event Passport PRO charges on top.

The sponsor directory is available on every plan. Packages, reservations, the sponsor portal, fulfillment and payments are included in PRO.

Sponsorship that runs itself
